# Optiverse > Optiverse captures every conversation, turns it into knowledge you can search, and moves approved follow-ups into your tools. Optiverse AG is a Swiss company (Zurich). All in one workspace. - The Notetaker joins from the calendar. The desktop app runs on Mac and Windows (in beta); the mobile app on iOS and Android. - Teams natively: An admin connects Microsoft 365 once. Recorded Teams meetings then import automatically, with no bot in the call. - Phone systems: Calls from connected phone systems like Aircall land next to your meetings. - Uploads and API: Drop in audio or video, or send recordings from your own systems through the API. ## Understand Every meeting becomes memory your company can search, with notes in your templates, coaching on every call and answers that cite their source. - Notes and documents, in your format. Board minutes, discovery calls, steering committees. Define a protocol once and every meeting follows it, or ask for a Word brief drawn from several meetings. - One question. Every system. Optiverse reads your meetings alongside your CRM, docs and tickets, and cites every source it used. ## Automate Ask Optiverse to act and it shows you what it will do first. Work that repeats after every meeting becomes a workflow you describe in one sentence, then test, switch on and audit. - Automations are in early access and set up with our team. - Template: Brief me before external meetings (30 min before external meetings) - Template: Update your Salesforce pipeline (After external meetings) - Template: Churn risk alerts (After customer meetings) - Template: Email me a meeting recap (After each meeting) ## Security Built where privacy is law, not marketing. Your data is hosted in Switzerland, never trains a model, and remains yours to export or delete. - Hosted in Switzerland: Swiss data centres by default, with an on-premise option when you need it. - Never trained on your data: Customer content is never used to train a model. - ISO 27001 compliant: GDPR and FADP compliant by design, under EU and Swiss data protection law. - Encrypted in transit: Every connection to Optiverse is encrypted. - Company-controlled sign-in: People sign in with your Google or Microsoft accounts, so access follows your identity controls. - Yours to keep or delete: Retention is configurable by data type. Export or delete your data on request. ## Pricing (per user per month, billed yearly / monthly; the same amounts in CHF in Switzerland, EUR in the EU and USD elsewhere) - Free: free. 10 meetings a month, 10 AI credits a month, Notetaker, desktop and mobile apps, Two-week Pro trial. - Pro: 22 / 29. 100 meetings a month, 100 AI credits, pooled across the workspace, Advanced speaker insights, Global transcript search. - Business: 49 / 64. The Startup Program gives selected teams five Business licences for six months, at no licence cost. - Is every startup accepted? No. We review each application and accept teams based on fit, available program capacity and the information provided. - Do incubator referrals guarantee acceptance? No. A referral can help us validate the company, but every startup still goes through the same review. - Can a company apply more than once? The program is limited to one grant per company. Duplicate, misleading or proxy applications can be declined or removed. - Can program access be transferred or used for clients? No. Access is for the selected startup’s own team and workspace. It cannot be sold, transferred or used to operate workspaces for third parties. - What happens after six months? We will explain the paid plans available for continuing with Optiverse before the grant ends. - Which terms apply to the program? Use of Optiverse remains subject to our Terms of Service and Privacy Policy. The final program terms sent with an acceptance email govern participation and may evolve as the program develops. One lightweight desktop app. Now in beta for Mac and Windows. - Voice Dictation: Hold a shortcut, talk, release. When the call ends, your notes are ready. - Task Board: Speak a task and walk away. Title, priority, subtasks, due date, all figured out from your voice. Meeting action items flow into the same board. Optiverse helps companies move from scattered conversations to real AI adoption. Founded in Zurich · ETH Zurich roots · Swiss hosted · Three co-founders. "We started Optiverse because we saw the same thing in every company: meetings are where decisions happen, but the data stays trapped in people’s heads." (Elio Assaf & Raphael Ausilio, Co-founders) It started with a simple frustration. The founders kept seeing the same waste in every company, but the goal was always bigger than better meetings: helping companies adopt AI in the flow of work. From a note-taker to a company’s AI adoption engine. The product expanded in clear steps, from capture to knowledge to action. - It started with meetings: Teams were losing hours to notes, follow-up and missing context. Meetings were the obvious place to start. - Capture became intelligence: Captured conversations became a searchable layer of company knowledge, not just transcripts in a folder. - Intelligence became action: Optiverse now turns conversations into workflows, briefs and updates, with teams staying in control. Swiss roots are not a flag. They are how we build. Our ETH Zurich roots show up in the product itself: rigorous engineering, trust and discretion where conversations matter most. - An ETH Zurich starting point: Optiverse began in the Swiss research ecosystem, with roots at ETH Zurich and links to EPFL, HSG and HEC Lausanne. - Swiss by engineering, not just by label: Built and hosted in Switzerland, under strict privacy standards. Trust is part of the architecture. - Precision as a default: Accuracy, reliability and discretion are the baseline when AI touches sensitive conversations. ### Team - Elio Assaf, Co-founder & CEO. IDQ sells complex, technical solutions with long cycles and high-stakes conversations. At a $150K fully loaded cost, the 2,000 hours spent on notes each year amounted to an entire headcount. - Notes decayed faster than they could be used - Every rep told a different version of the same call - Leadership managed on incomplete information #### Three competitors evaluated. One clear winner. IDQ serves governments and financial institutions. The security of the AI and agentic layers, and where they run, was non-negotiable. Tools dependent on US cloud infrastructure were ruled out quickly. #### Start small. Prove it works. Scale fast. IDQ ran a disciplined pilot with seven users before committing. Four months later, the results spoke for themselves and the entire go-to-market team was equipped. #### Visibility the CRO didn’t have before. The ROI case was clear from the start and the efficiency gains exceeded the projection. What changed most for Marc Niklès was visibility into real opportunities, deal qualification and customer context. #### Results - 2,000–2,200 Hours of note-taking eliminated a year: Across nearly 6,500 customer conversations, the equivalent of one full headcount. - 6.5× Return on note-taking alone: The business case covered one function, meeting notes and CRM updates. - 35+ Users onboarded: From Sales to Customer Success, Product, Marketing and Leadership. - 4 months From pilot to full rollout: Seven pilot users proved the workflow before the company scaled. > "The return on investment was pretty much guaranteed from day one, and it proved to be even more valuable than we thought it would be." (Marc Niklès, Chief Revenue Officer, ID Quantique) > "Some sales reps are very optimistic and others are less so. Now you can get AI to capture the verbatim from the client - and you remove the layer of interpretation happening at the individual level." (Julien Lepetit, Head of Sales Excellence, ID Quantique) > "I kept it extremely simple. On the very basic function of taking good notes from meetings and updating our CRM - it came back as the equivalent of one full-time employee." (Julien Lepetit, Head of Sales Excellence, ID Quantique) - Industry: Quantum-safe cryptography - Headquarters: Geneva, Switzerland - Part of: IonQ - Team in Geneva: 140 people ### Services industriels de Nyon: Public-sector meeting governance, finally under control. https://www.optiverse.ai/customers/si-nyon · Public utility · Nyon SI Nyon rolled Optiverse out to 18 people, now records three quarters of its meetings and saves project leads two to three hours a week. The results carried the rollout across the wider City of Nyon. - 75% of meetings recorded - 2–3 h saved per key user, weekly - 35+ licences across Nyon #### A meeting problem every city recognises. Minutes were slow, inconsistent and sometimes skipped entirely. They were handwritten or drafted in Word, focused only on final decisions, and important information became hard to find once the meeting was over. - Minutes written by hand in Word or notebooks - Some meetings ended without any formal record - Finding an old decision was frustratingly slow #### More than generic AI promises. The team had tested basic AI tools, but needed something built for meetings: reliable French transcription, minutes in their own standard, direct integration with Asana and Outlook, and real time savings without changing how people work. #### Adoption was immediate because the workflow stayed familiar. Teams kept running meetings the way they always had. Recording, transcription and project follow-up were simply captured automatically. #### Better governance, without more admin. Minutes, decisions and actions became easier to track, verify and centralise across projects and departments, and strong enough to justify a second rollout across the City of Nyon. #### Results - 18 Users in the first rollout: Adoption was immediate because the workflow fit existing habits. - 75% Meetings recorded: Recording became the norm, so decisions no longer slip through. - 2–3 h Saved per key user, every week: Project leads no longer run the meeting and write the record at once. - 35+ Licences across the City of Nyon: The first rollout built the confidence to extend to another department. > "We hardly run sessions without Optiverse anymore. It has become a reflex." (Ingrid Binovsky, PMO, Services industriels de Nyon) > "There is still a little review to do, but the essential work is already done. I save an enormous amount of time." (Ingrid Binovsky, PMO, Services industriels de Nyon) > "Program reviews used to be exhausting. Now the transcription takes care of itself." (Ingrid Binovsky, PMO, Services industriels de Nyon) - Sector: Public utility and municipal services - Coverage: Electricity, water, gas, district heating - Stack: Asana, Outlook, Optiverse Protocols ### qashqade: Every client conversation now becomes usable deal intelligence. https://www.optiverse.ai/customers/qashqade · Fintech, private markets · Zurich qashqade replaced siloed spreadsheets and scattered notes with meeting capture synced into Pipedrive, giving leadership real visibility into the pipeline and cutting admin by 30%. - 30% time saved - 15–30 min back after every meeting - 1 CRM source of truth #### Deal context was trapped in personal spreadsheets. Client knowledge lived in siloed notes. CRM hygiene depended on individual discipline, and leadership had little confidence that the full story of a meeting reached Pipedrive in time to be useful. - Notes stayed with whoever wrote them - CRM updates were late or incomplete - Managers couldn’t see what was agreed or how big a deal was #### Capture automatically. Structure the details. Sync the CRM. Every client call is recorded and summarised. Templates for sales and client management capture the fields that matter, from fund count and deal size to next steps, and push them straight into Pipedrive. #### More transparency for leadership, less friction for everyone else. Leaders review summaries, search transcripts and check recordings when they need to validate a claim or decide where to invest effort. Client-facing teams move faster because the information is already there. #### AI works best as support, not as the decision-maker. Technology should sharpen judgment, not replace it. Optiverse gives qashqade a dependable system around client communication while decisions stay with people. #### Results - 30% Time saved: Recovered time goes back into client work instead of admin. - 15–30 min Saved after every meeting: Notes, summaries and CRM updates no longer start from scratch. - 20+ h Protected from low-value work: Enough context to judge a proof of concept before investing in one. - Every call Documented with context: Facts, commitments and next steps land in Pipedrive, consistently. > "Now, if someone says, We are going to win this client, I can see the real details, what was agreed, the numbers, and if it's worth the investment." (Oliver Freigang, Co-Founder & CEO, qashqade) > "Every salesperson had their own spreadsheet. The minutes were with the individual who wrote them, no sharing, no transparency. As a manager, I had no idea what was agreed with clients or the size of the deals." (Oliver Freigang, Co-Founder & CEO, qashqade) > "It was important for us to connect Optiverse to Pipedrive, so the information would finally be there, not scattered. Now, even if someone is super lazy, at least the AI plugs into their meeting and fills out the main questions we care about." (Oliver Freigang, Co-Founder & CEO, qashqade) - Industry: Fintech, private markets - Headquarters: Zurich, with teams in the US and UK - Stack: Optiverse + Pipedrive ### Demodia: Multilingual client calls, turned into action-ready team memory. https://www.optiverse.ai/customers/demodia · B2B marketing & sales enablement · Switzerland Six to eight meetings per person every day, in four languages. Demodia now turns every call into structured context inside HubSpot and has already cut follow-up time by 30%. - 30% follow-up time saved - 6–8 meetings per person, daily - 4+ working languages #### Too many meetings, too many languages, too much context left behind. Details were scattered across handwritten notes, personal memory and uneven follow-up habits. Handover was slow, and meeting knowledge stayed with whoever attended. - Hours of calls every day, impossible to capture by hand - Action items and client requests slipped after the call - English, German, Italian and Swiss German made sharing harder #### A multilingual assistant built around Demodia’s workflow. Custom protocols pull out exactly what client work needs: customer profile, pain points, project context, requests and next steps. English-ready summaries flow into HubSpot, whatever language the meeting was in. #### Less admin, more presence, better collaboration. Structured minutes that took 15 to 20 minutes are now far faster to produce, and the team has a searchable memory that keeps client context accessible long after the call. #### Flexibility and buy-in came faster than expected. Multilingual support and prompt-driven protocols made Optiverse feel adaptable rather than prescriptive, so every role adopted it quickly. #### Results - 30% Less time on follow-up: A third of the 15 to 20 minutes per meeting is already gone. - 80% Automation ahead: Savings grow as follow-up minutes are automated further. - 30+ Meetings covered every week: Small savings per meeting compound into hours of client work. - 4+ Languages handled: Captured in one language, usable by the team in another. > "The language support was a surprise. We can transcribe and summarize meetings in Swiss German or Italian, but output a summary in English for the whole team." (Simon Harvey, Founder & CEO, Demodia) > "I can actually focus on the customer, not on scribbling notes. The assistant captures what matters, so I can be present in the conversation." (Simon Harvey, Founder & CEO, Demodia) > "With the agent, I can instantly ask, 'What are my action items?' or review the key points of any call, without hunting through transcripts." (Simon Harvey, Founder & CEO, Demodia) - Industry: B2B marketing and sales enablement - Clients: Across Europe - Stack: Optiverse + HubSpot ### Bloom Rocket: Three hours back per employee, every single week. https://www.optiverse.ai/customers/bloom-rocket · B2B growth consultancy · Zurich Bloom Rocket helps B2B tech companies scale to eight-figure revenue. With Optiverse, CRM updates became a by-product of conversations instead of a chore after them. - 3 h back per employee, weekly - 15 min saved per meeting - ~90% Swiss German accuracy #### Stay present in the room, not buried in notes. Consultants had to choose between listening carefully and capturing everything. Notes, CRM updates and summaries all happened after the call, which slowed execution. - Manual notes distracted consultants in client sessions - Insights were rewritten and copied into HubSpot afterwards - Past conversations were hard to review reliably #### One workflow across consultations, kick-offs and interviews. Every important meeting becomes a searchable transcript, a recording and memory you can ask, while structured outputs flow into HubSpot. #### Less admin, better service, faster ramp-up. A hosting statement is the baseline. The buying decision depends on what happens after the meeting is captured. At Optiverse, versions of these questions come up in almost every serious security and procurement conversation. We did not invent this framework as a theoretical checklist. It reflects what European buyers repeatedly ask us before they approve meeting intelligence for customer calls, internal discussions, or company-wide use. This guide distils those conversations into a compact decision process. It is not legal advice; it is a practical way to get clearer answers from any vendor, including us. The distinction is simple: security is about safeguards, residency is about where data is hosted and stored, and sovereignty is about practical control. Buyers need all three answers, but they should not let one stand in for the others. #### Start with one clear residency statement Ask the vendor to complete one sentence without qualifiers: the service is hosted in ___ and customer data is stored in ___. Record which deployment that statement applies to and which data it covers. For the European deployment, Optiverse is hosted in Europe and customer data is stored in Europe. That gives procurement a concrete residency baseline. It does not answer every sovereignty question, but it prevents the rest of the review from being built on vague language such as “European-ready” or “a European region.” Optiverse offers an on-premise deployment option, primarily for enterprise requirements. Our recommendation is to treat deployment as a response to a defined requirement, not as a badge: start with the European hosted option when it meets your residency and operating needs, and move to on-premise when a specific infrastructure or policy constraint requires it. #### Define what your meeting data actually includes “Meeting notes” rarely means one document. Before comparing controls, list the artifacts your chosen workflow creates: - Audio or video, when recorded - Transcript and speaker information - Summary, decisions, and follow-ups - Exports or context sent to connected systems - Activity records needed to understand access or changes This is where the product connection matters. Optiverse Capture brings bot, desktop, mobile, phone, and uploaded conversations into the same structured meeting record, including the transcript, speakers, summary, and follow-ups. Optiverse Intelligence can then search the meeting history a user can access, connect it with approved company context, and keep the relevant source material attached. The product becomes more valuable as that context compounds, which is exactly why scope and governance should be decided before a broad rollout. A useful first step is to choose the meeting types that are in scope. A company may begin with customer or sales calls, then add sensitive internal meetings only after the operating model is clear. That is a business and governance choice, not just a configuration choice. #### Check the controls that make sovereignty operational ##### Access Ask who can see each meeting record, who can grant access, and how roles match the way your teams work. Test the answer with a real scenario, such as a customer negotiation that should be visible to the account team but not the whole company. ##### Retention and deletion Ask which artifacts can have different retention expectations and what deletion means in practice. The answer should distinguish the live meeting record, exports, and copies created in connected systems instead of treating “delete” as one universal action. ##### Auditability Ask what evidence would be available if security or procurement had to investigate access, changes, or exports. You are looking for an answer your team could actually use during an internal review, not a generic statement that activity is logged. ##### Export and exit Ask what can be exported, in which format, and how offboarding is completed. A clean exit matters because meeting intelligence becomes more useful as it accumulates history; your team should understand how that history can move before it becomes operationally important. #### How Optiverse ties the product to the decision We think sovereignty should be reviewed in the context of the workflow, not as a separate page procurement reads at the end. Capture determines which conversations and artifacts enter the system. Intelligence determines how approved users can find and reuse that context. Deployment determines the residency baseline. Looking at those three pieces together gives a buyer a much more honest picture than asking only where a server is located. That is also how we recommend evaluating Optiverse. Start with the European deployment statement, select the meeting types you want to capture, inspect the record and downstream context the product creates, and then walk through access, retention, audit, and exit with your own requirements in hand. If the hosted model satisfies them, keep the rollout simple. If a concrete enterprise requirement does not fit, discuss on-premise. Our security and deployment page is the best place to begin that review. #### A compact buying recommendation - Get the hosted-and-stored statement in writing for the deployment you are buying. - List the meeting types and artifacts that will be in scope during the first rollout. - Test access, retention, audit, and exit using one realistic meeting scenario. - Choose European hosting or on-premise based on a documented requirement, not a general preference. If a vendor can answer those four steps clearly, you have the basis for a practical decision. If the answers stay vague, narrow the rollout until they are concrete. For Optiverse, you can use the Capture, Intelligence, and security pages together as the starting point for that conversation. ### Pick a Notetaker Your Startup Won’t Outgrow https://www.optiverse.ai/blog/choose-startup-friendly-ai-notetaker · Technology · 2026-08-26 · Nicolas Kreutzer Most teams buy a startup-friendly AI notetaker because context keeps leaking out of the business. A rep leaves a discovery call with half the details in their head. A founder finishes an investor update and can’t remember what they promised. A hiring panel debates “vibes” because nobody can point to what was actually said. The trap is picking a tool that looks fine on one meeting, then breaks down in real life. It captures a call, spits out a summary, and still leaves you with the same operational mess: unclear decisions, inconsistent follow-up, and no shared memory when someone new joins the thread. A startup-friendly choice isn’t about a cheap plan. It’s about operational fit: fast capture, outputs that match how you run meetings, retrieval once your meeting history grows, and controls so nothing gets shared or acted on before the owner is ready. #### What does “startup-friendly” mean in your week? In early-stage teams, roles rotate and meetings carry a lot of hidden context. The same person might run sales calls, then jump into product scoping, then do a hiring screen. If the notetaker only works for one “type” of meeting, you’ll end up with uneven adoption and a pile of notes nobody trusts. When I’m helping a CEO evaluate tools, I look for three practical signals: - Time-to-value: can a busy team get a clean transcript and usable summary without a setup project? - Flexibility: can you capture how you actually meet (scheduled calls, ad hoc discussions, in-person) without awkward workarounds? - Control: can you decide what becomes official, who can see it, and what (if anything) gets pushed into other tools? If you’ve been burned before, it’s usually one of these: follow-ups slip, handovers are painful, or sensitive meetings become “off the record” because capture feels risky. #### What must work in week one, no excuses? Week one is not about advanced features. It’s about whether the basics are good enough that your team stops rewriting notes. You’re validating three outputs you’ll reuse across functions: transcript, summary, and clear decisions/next steps. If those are fuzzy, you’ll still be doing manual cleanup, just with more text to sift through. Use a simple scorecard for each meeting you test: - Transcript trust: could someone who wasn’t there follow the conversation? - Summary usefulness: does it capture what mattered, or read like generic minutes? - Decisions and next steps: are they specific, correct, and easy to assign? - Follow-up time: did the meeting owner spend less time writing and chasing context? Run this on real meetings, not “demo-friendly” ones. Include at least one call where people talk over each other, one internal debate, and one meeting where the stakes are high. #### Bot, botless, or mobile: which capture choice wins? Capture is where adoption lives or dies. Not because one method is universally best, but because different meetings have different social rules. A bot joining a scheduled customer call might be fine. That same bot joining an investor conversation can change the tone. And plenty of startup decisions happen off-calendar: a quick debrief after a customer visit, a hallway product call, a working session in a meeting room. We built Optiverse to support multiple capture modes: “Use the bot, desktop app, mobile app, connected phone system, or upload. Every route gives you the same transcript, speakers, summary, and follow-ups.” You can see that on our homepage at Optiverse. Here’s a practical mapping that keeps teams honest: - Scheduled external calls: bot capture is often acceptable. - Sensitive conversations: a botless option matters. Optiverse supports “Desktop — Silent desktop capture for sensitive conversations. Record without a bot.” - In-person meetings: mobile capture can be the difference between “we’ll write it up later” and an actual record. You don’t need every mode on day one. You do need the mode that fits your highest-risk meetings, because those are the ones that create the biggest downstream cost when details get lost. #### Are the notes usable for sales, product, hiring, investors? Most teams don’t fail because they lack notes. They fail because notes don’t turn into decisions and follow-up that other people can use. A startup-friendly notetaker should produce structured outputs that match the meeting type. In Optiverse, meetings become “transcripts, summaries, decisions, next steps, and CRM-ready records,” and we frame access controls around “who can find each detail and where approved outputs can go.” That’s the difference between a document existing and a team being able to act. When you evaluate outputs, don’t ask “Is the summary good?” Ask “Is it good for this job?” For example: - Sales: does it capture pain, stakeholders, timeline, and next steps in a way a rep can use without rewriting? - Product: does it separate decisions from discussion and make open questions obvious? - Hiring: does it capture evidence and concerns clearly enough to support a decision later? - Investor work: does it preserve commitments and follow-ups without spreading sensitive context too broadly? If your team keeps editing the output to make it usable, you’re not buying leverage. You’re buying another place to do admin. #### When does search across meetings start to matter? Early on, per-meeting summaries can be enough. Then you hit a threshold: more customers, more hires, more parallel projects. The question shifts from “What happened in that call?” to “What have we learned across the last ten calls?” That’s when meeting history becomes team memory. Search across meetings becomes useful once you’re repeating conversations and need continuity across people and time. Optiverse positions its core value as: “Turn every meeting into searchable company memory, then return approved actions to the tools where work happens.” If you’re evaluating us, use that as the lens. On plans, Pro includes “Global transcript search,” listed on our pricing page. In your pilot, test retrieval with real questions: - “What did this customer say about budget last month?” - “When did we agree on this product decision?” - “What objections keep showing up in discovery?” If it takes five minutes and three people to find an answer, the tool stays a per-meeting notepad. #### Can you keep sensitive meetings private and follow-up controlled? Startups run on speed, but speed without control creates mess. The risk isn’t only exposure. It’s confusion: something gets shared, synced, or treated as “official” before the owner has checked it. Two checks matter in practice: - Privacy and sharing: who can find meeting details, and what’s visible by default? - Follow-up control: can you hold outputs until a human approves what gets sent onward? In Optiverse, we describe access controls as governing “who can find each detail and where approved outputs can go.” For follow-up, our Automations page states you can “Build AI workflows for follow-ups, CRM updates, prep briefs, and weekly recaps,” trigger them after a meeting (and in other ways), with “Human approval built in.” Review that on the Automations page. In your pilot, include one meeting where you would not want anything pushed automatically. If you can’t keep a tight grip without awkward workarounds, you’ll see it fast. #### What’s a simple one-week pilot, and where do we fit? A pilot should be small enough to finish, but real enough to surface edge cases. ##### A one-week plan you can run without drama - Day 1: pick three meeting types - One customer or partner call - One internal product/delivery meeting - One sensitive meeting (investor, HR, or a difficult customer situation) - Days 2–4: run meetings normally and score outputs - Transcript trust - Summary usefulness for that meeting type - Decisions/next steps clarity - Time spent on follow-up - Day 5: test retrieval and approval control - Ask two people who didn’t attend to find answers in the meeting history - Confirm follow-ups can be held for approval before anything becomes official Success criteria should stay commercial: - Did you miss fewer follow-ups? - Did meeting owners spend less time rewriting notes? - Could someone else pick up context without a handover meeting? - Did capture feel acceptable in sensitive conversations? Where Optiverse fits: we’re built around turning meetings into searchable company memory and returning approved actions to the tools where work happens (Optiverse). We support multiple capture modes, including bot capture for scheduled calls, a botless desktop option for sensitive conversations, and mobile capture for in-person meetings. If you want a low-commitment start, our pricing page lists a Free plan that includes 10 meetings per month and 10 AI credits per month, plus email and calendar integrations. For selected teams, our Startup Program provides six Pro licenses for six months at no license cost, and the application takes about three minutes. We review every submission; acceptance depends on fit, available capacity, and the information provided. Referrals don’t guarantee acceptance. The program is limited to one grant per company, and access is for the selected startup’s own team and workspace (not transferable or for client workspaces). We explain paid-plan options for continuing before the grant ends. If you’re a Swiss or EU startup with data-control requirements, start with our security page: Swiss hosting by default, EU residency and on-premise deployment available on request, “Zero retention for training” contractually guaranteed, and “ISO 27001 audited annually.” Pick the tool that captures meetings the way you actually meet, produces outputs your team can reuse without cleanup, and gives you control over what becomes official. ### HubSpot meeting intelligence without CRM drift https://www.optiverse.ai/blog/hubspot-meeting-intelligence-cross-meeting-search-human-approved-crm-actions · Technology · 2026-08-21 · Nicolas Kreutzer When a CEO says “we need better meeting intelligence,” they’re rarely asking for another place to store recordings. They want four outcomes: capture what happened, recall it later, follow through consistently, and keep the CRM trustworthy. HubSpot can give you a solid baseline on the capture-and-review side. The gap I see in real teams shows up later: once you have dozens of calls, you still can’t answer cross-meeting questions quickly, and the CRM starts drifting away from what was actually said. This is a commercial look at HubSpot’s native baseline, where it typically stops for RevOps, and how Optiverse can complement HubSpot with cross-meeting search and evidence-linked, human-approved CRM actions. HubSpot stays the system of record. #### What are you really buying when you say “meeting intelligence”? In a buying committee, “HubSpot meeting intelligence” usually means you can go from a live conversation to something the business can use: - A recording and transcript you can review when the deal gets complicated - A way to find the moment where pricing, timeline, or scope changed - A workflow that turns the conversation into next steps and follow-up - CRM updates that are consistent enough to forecast and hand off cleanly HubSpot is strong at helping you review a specific call. Where teams get stuck is making the knowledge reusable across time and making CRM updates consistent and governed. #### What does HubSpot give you natively, and who qualifies? First, the basics: HubSpot users can review recordings made through HubSpot’s calling tool, HubSpot’s integrations with Zoom or Google Meet, or a third-party calling provider integrated with HubSpot (review recordings). That matters because many teams assume “meeting intelligence” equals “Zoom recordings.” In HubSpot, it can include more than that. Transcription and analysis is where eligibility bites. In HubSpot, transcription and analysis for call recordings (Conversation Intelligence) requires an assigned Sales Hub or Service Hub Professional or Enterprise seat (transcription eligibility). And only recordings made by users with those assigned seats will be automatically transcribed (automatic transcription). If half the team doesn’t qualify, you’ll feel it in adoption and in coverage. Once you do have Conversation Intelligence, HubSpot supports reviewing recordings with transcripts and search, and it includes global search for key terms in call recordings (CI review and search). That’s the baseline most leaders want: “Can I find the part where legal pushed back?” or “Did they actually commit to a date?” HubSpot Conversation Intelligence also includes Automatic Associations. It can associate calls to CRM records such as contacts, companies, deals, and tickets, and it uses AI models for some associations (for example, deal and ticket) (automatic associations). This reduces rep burden, but it doesn’t remove the need for review when your data is messy. HubSpot’s Sales Workspace adds a meeting workflow: it supports preparing for meetings with pre-meeting insights and reviewing post-meeting summaries and suggested activities for follow-up. It’s available with Sales Hub Professional and Enterprise, and an assigned Sales seat is required to manage meetings in the sales workspace (Sales Workspace meetings). There’s a practical caveat that affects completeness: for a meeting to appear in HubSpot’s Sales Workspace, the meeting must have at least one CRM contact as an attendee, and the contact cannot have an email address with the same domain as your account (meeting appearance requirements). If that condition isn’t met, leaders end up looking at an incomplete set of meetings and assuming it’s the full story. #### Where does HubSpot usually stop helping RevOps? HubSpot is good at “review this call.” RevOps pain shows up when leadership asks questions that span many calls over weeks or months. You see it in common situations: - A new AE inherits an account and needs the narrative, not just a list of activities. - A deal slips and the CRO asks, “When did the timeline change, and who said it?” - A customer-facing team wants to know what was promised across multiple conversations. Even with transcripts and per-call search, knowledge can stay trapped inside individual meetings. A CRM activity timeline is a record of activities; it’s not built to answer “what changed since last call?” across a long thread of conversations. The other limit is consistency. Summaries help, but if they don’t map into repeatable sections or fields, you can’t report on them. You can’t forecast off them. You can’t hand off cleanly without someone rereading the story. #### Why does CRM drift happen even with recordings and transcripts? CRM drift is the gap between what was said and what the CRM reflects. It’s rarely malicious. It’s usually speed, ambiguity, and uneven habits. Here’s what it looks like in the wild: - Meetings are inconsistently logged or associated. Some reps are disciplined; others are not. - Notes are unstructured. They read fine in isolation, but they don’t translate into fields, risks, or next steps leadership can trust. - Record association gets ambiguous. Multiple deals, multiple companies, missing attendee emails, or mismatched domains can all lead to the wrong record getting the right information. - Over-automation creates damage. If a system updates consequential fields without a human reviewing it, you can move pipeline in ways the business didn’t intend. That last point is what CEOs feel. It shows up as forecast volatility, awkward handoffs, and cleanup sprints that steal time from selling. #### How should Optiverse and HubSpot work together in practice? Optiverse is positioned as a complementary layer: make meeting evidence reusable across time, then push reviewed updates back into HubSpot. Optiverse connects to HubSpot in two ways: a native integration that automatically pushes meeting summaries to your CRM records, and an MCP integration that lets the assistant read, search, and update HubSpot data through conversation (Optiverse HubSpot integration). On the native side, Optiverse’s HubSpot auto-matching uses attendee emails from calendar invites to match HubSpot contacts, then follows associations from contacts to linked companies and deals; summaries are pushed as notes/activities to matched records (auto-matching behavior). When enabled, Optiverse can auto-create HubSpot contacts when meeting attendee emails don’t already exist as contacts (auto-create contacts). In accounts with messy data or multiple active deals, you still want someone to sanity-check what gets matched. On the MCP side, the permission model is the point. Optiverse’s HubSpot MCP integration offers permission modes including read access with approval required before creating or updating records (“Ask on writes”) (permission modes). That supports a workflow where the assistant proposes updates, but a human approves consequential writes. If you want the product surface area behind that operating model, start with Optiverse Capture, Intelligence, and Automations. #### What should you pilot, and what should you measure? Cross-meeting search is what leaders are asking for when they say “we’re drowning in calls.” Not “can I replay a recording,” but “can I answer a business question quickly and verify it.” Optiverse supports cross-meeting workflows for sales teams such as preparing for calls by pulling prior meetings and, when the CRM is connected, current deal stage and pipeline value (sales team workflows). That’s useful when a rep is walking into a second or third meeting and needs context fast. Keep the pilot narrow so you learn fast without creating a second system nobody trusts. - One meeting type (for example, discovery) - One governed update path (for example, next steps and key risks proposed, then reviewed before pushing) - A small cohort (a few reps and one manager who will inspect outputs) Then measure outcomes a CEO will recognize: - Time saved per rep per week on post-call admin - Percentage of meetings that end up logged/associated the way you expect - Fewer pipeline surprises caused by missing or inconsistent meeting evidence If HubSpot alone is enough (low meeting volume, simple deal model, strong rep compliance), you may not need a complementary layer. If deal cycles are long, handoffs are frequent, and leadership needs evidence-backed pipeline hygiene, adding cross-meeting retrieval plus human-approved updates is usually where the ROI shows up. For the cleanest description of how Optiverse works with HubSpot, start here: See how Optiverse works with HubSpot. ### Trustworthy Salesforce conversation intelligence outcomes https://www.optiverse.ai/blog/salesforce-conversation-intelligence-cross-meeting-search-human-approved-crm-actions · Technology · 2026-08-21 · Nicolas Kreutzer Most CEOs don’t wake up wanting “conversation intelligence.” They want a pipeline they can trust, fewer surprises in forecast, and less time spent debating what was said versus what’s in Salesforce. Salesforce Conversation Intelligence can help you capture and analyze calls. Salesforce describes conversation intelligence as using AI and machine learning to analyze conversation recordings and surface key moments, topics, and insights, and it highlights saving time by automatically logging and transcribing calls. That baseline is real value for coaching and call review. The friction shows up when you try to turn scattered call evidence into governed opportunity updates: stage, amount, close date, roles, next steps. In a mature Salesforce org, the cost of a wrong update is often higher than the cost of no update. #### What outcome are you buying, coaching or cleaner pipeline? Most teams start evaluating Salesforce conversation intelligence because one of these is happening: - Pipeline reviews run on stale fields because reps don’t update Salesforce after calls. - Managers can’t tell whether “next steps” are real or just optimism. - AEs waste time re-listening to calls to answer basic questions like “Did procurement come up?” Coaching value is straightforward: you want recordings, transcripts, and a way to review moments that matter. Pipeline value is different: you want consistent updates on the right records, in the right fields, with the right approvals. If you don’t separate those outcomes, you end up with a lot of call data and the same forecast arguments. #### What does Salesforce CI do, and what do providers decide? First, a naming note that matters when you’re searching your org and Trailhead: Einstein Conversation Insights (ECI) has been rebranded to Conversation Intelligence (CI), with the same functionality under a new name. You may see both names while the rebranding is in progress. Salesforce CI is built around analyzing recordings. For voice calls, Salesforce states you must connect it to at least one supported voice recording provider. Salesforce lists examples of supported providers including Sales Dialer, Dialpad, RingCentral, AirCall, Amazon Connect, Service Cloud Voice with Amazon Connect, Redbox, Tenfold, and Fastcall. For video calls, Salesforce states you connect Zoom Meetings, Google Meet, or Microsoft Teams. That provider dependency shapes rollout in the real world. If one segment uses a dialer that’s connected and another segment lives in a different tool, your “conversation intelligence” coverage won’t match your pipeline coverage. Salesforce also groups insights into configurable insights you define (for example, competitor or product mentions) and automatic insights grouped around common themes such as next steps and pricing, with no additional configuration required. Useful for review. Not the same thing as governed CRM updates. #### Why call-to-record matching still creates bad data risk In a governed Salesforce org, the hard part is not generating a summary. The hard part is deciding which record it belongs to, and whether it’s safe to update. Salesforce describes a “Related Record Matching” setting that automatically matches calls to related Salesforce records. The setting looks at call owner details, contacts related to opportunities through opportunity contact role, and related opportunities to accounts (based on who was on the call). That helps, but it doesn’t remove ambiguity. Here are the situations that show up in pipeline inspection: - One contact is linked to multiple open opportunities. - The meeting includes someone new who isn’t in Salesforce yet. - The call is “about the renewal,” but the invite is tied to a different account or the AE is covering two deals. When matching is ambiguous, a wrong writeback can create a mess: the wrong opportunity gets a stage change, the wrong close date triggers internal work, or the wrong account ends up with a summary that doesn’t belong there. You can’t govern that away with better summaries. #### Why a single-call view fails in forecast conversations Forecast questions usually span multiple meetings. A CEO asks, “When did they first push back on price?” A VP asks, “Did we confirm timeline with the economic buyer?” Finance asks, “Is this deal still in the quarter?” Those answers live across discovery, technical validation, procurement, and an exec touch. If your workflow is one call → one summary → one activity log, you still get predictable failure modes: - Reps anchor on the latest call and forget earlier commitments. - Managers re-litigate decisions because evidence is scattered. - CRM fields drift from what was actually said. Cross-meeting search is what changes the conversation. Instead of “go listen to three calls,” you can ask a question across the full history and get a synthesized answer you can then verify. #### Where Optiverse fits: evidence, cross-meeting search, proposed actions We built Optiverse to sit next to Salesforce, not replace it. Salesforce stays the system of record. Optiverse is the layer that helps teams retrieve what matters across meetings and propose structured updates that a human can approve. On retrieval, Optiverse supports Multi-Meeting Search: you can ask questions that span your full meeting history with a prospect or customer, and the AI searches across all recorded calls and synthesizes the answer. That’s how a manager answers “what changed?” without re-listening. On CRM context, if your CRM is connected, Optiverse can pull the current deal stage and pipeline value during meeting prep. And Optiverse combines meeting transcripts with CRM data to identify mismatches, missing updates, and stale records by comparing what was said in recent calls against what’s currently logged. On writeback, our Salesforce integration is positioned to enable automatic CRM updates with field-level mapping, multi-action workflows, and bilateral access via an MCP integration. Each user connects their own Salesforce account, and the integration respects Salesforce permissions, so it only accesses records the authenticated user can view and edit. Optiverse supports multiple action types including pushing meeting summaries to Contacts, Leads, Opportunities, and Accounts, and creating new Contacts when attendees don’t exist. It also supports field-by-field mapping from protocol sections (with defined data types) to Salesforce field types such as text, long text, numbers/currency, picklists, and formatted tables. #### Which Salesforce updates should require a human click? Not every write is equal. Logging a summary note is usually low risk. Updating forecast-driving fields is not. If a change affects forecast or routing, put a human approval gate in front of it. In most Salesforce orgs, that includes: - Stage changes - Amount changes - Close date changes - Role changes that affect qualification (who the buyer is, who is involved) - Ownership changes Optiverse supports a manual push option that lets users choose the destination object (Accounts, Contacts, Leads, Opportunities), select the record, and push either as a note or per-section with field mapping. If you want an assistant-style workflow, our MCP integration with Salesforce supports permission modes including “ask on writes,” where the assistant reads freely but asks permission before creating, updating, or deleting records. We also design for the reality that matching won’t always be clean. Optiverse states that auto-sync can skip pushes for common reasons such as no matching contact, no associated lead or opportunity, or multiple ambiguous matches (for example, a contact linked to several open opportunities). That “skip and review” behavior is often what keeps a governed org from polluting Salesforce. #### How to evaluate and pilot without risking opportunity hygiene Buying conversation intelligence is easy. Rolling it out without degrading Salesforce data quality takes judgment. ##### Evaluation checklist - Coverage reality: which teams will be captured, given your voice and video providers? - Record association: how often will calls match cleanly, and what happens when they don’t? - Cross-meeting retrieval: can leaders answer “what changed?” across the cycle without re-listening? - Governance controls: which fields can be proposed, and which require human approval? - Field mapping: can structured meeting outputs map into the Salesforce fields your process depends on? ##### Low-risk pilot plan Keep the pilot small and biased toward learning. - Pick one motion with clear hygiene pain, like late-stage opportunities where forecast risk is high. - Define a short protocol: next step, timeline, stakeholders, risks. Map those sections to Salesforce fields where it makes sense. - Start with “notes first,” then selective fields. Propose updates to forecast-driving fields only after the team is consistently reviewing. - Inspect skipped pushes weekly. Skips (no match, no associated record, ambiguous matches) tell you where contact roles and opportunity association need tightening. That flexibility is a strength, but it also means meeting data can sprawl fast. One rep logs a clean summary. Another pastes a transcript snippet. A third forgets to link the right deal. Six weeks later, your forecast call turns into “what did they actually say?” When people say “call intelligence,” they often mean “we record calls.” In a real sales org, call intelligence is only useful if it creates shared context: what happened, what changed, what’s next, and where the evidence lives. This is how I’d frame Attio call intelligence to a CEO: what Attio provides natively, what to verify in your own workspace, where teams still get stuck once there are many meetings per account, and how a complementary layer like Optiverse can help without replacing Attio. #### What is “Attio call intelligence” in plain terms? Attio positions Call Intelligence to automatically record, transcribe, and store meetings in Attio, and to use AI-powered insight templates to generate summaries and highlight key details. That’s the core promise: meeting artifacts land in the CRM, and the team gets a faster read on what matters. See Attio’s overview here: Attio's Call Intelligence guide. Attio's call recorder can automatically join meetings in Zoom, Google Meet, and Microsoft Teams, transcribing conversations, and storing recordings directly in the CRM. In practice, that reduces the “where’s the recording?” chase and makes the meeting part of the account record instead of a separate tool. See Attio's Call Intelligence guide. If you stop there, you still get value: fewer missing notes, easier coaching, and less reliance on memory. But the moment you have multi-threaded deals, the questions you need answered are rarely about a single call. #### What should you confirm in Attio before adding anything? Before you evaluate an add-on, make sure you’re getting the baseline benefits you already paid for. Attio Notes are available on all plans and for all workspace members, and can be created, edited, and shared in real time on record pages. Notes also support reusable note templates, which can help standardize how your team documents recurring meetings and sales calls. See Attio's notes guides. Ask Attio can search notes by date, author, linked record, or content, and can summarize notes. It also cannot create or edit notes. That boundary is useful: it keeps “find and summarize” separate from “write into the system of record.” See Attio's notes guides. Availability and configuration can vary by workspace, so treat this as a quick internal audit, not a spec sheet. - Are recordings and transcripts consistently attached where your team actually works (the right record pages)? - Are note templates used for the calls that drive decisions (discovery, pricing, renewal, implementation)? - Can leaders use Ask Attio to find and summarize what’s already documented by linked record and content? If those three aren’t true, fix them first. Otherwise you’ll blame “call intelligence” for a process problem. #### Why does account memory break once calls pile up? The failure mode I see is predictable: you end up with lots of meeting artifacts, but no coherent story. Your CEO questions are cross-meeting by nature: - What did they commit to last time, and did we follow up? - When did the decision criteria change? - Which objection is new versus recycled? - What changed since the last conversation with this company? Attio Notes plus Ask Attio can help you find and summarize what’s been documented in notes. That’s real utility. The gap shows up when the team needs a chronology across many meetings, across multiple stakeholders, and across multiple internal attendees. Searching and summarizing individual notes can still feel like stitching together a timeline by hand. The second gap is consistency. Attio is flexible, which is why many teams like it. But flexibility also makes it easy for meeting-derived data to drift: - Two reps describe the same decision driver in different words. - A “next step” lives as prose in a summary, not as something you can reliably track. - The same meeting gets linked differently depending on who logged it. None of that is malicious. It’s just what happens when the system accepts many shapes of input and the team is moving fast. #### If you add Optiverse, what is it actually doing? Optiverse is positioned as a complementary layer that works with Attio, not a replacement for it. Our Attio integration syncs meeting notes, mapping protocol data to custom objects, and enabling natural-language management of Attio via an MCP integration. It can automatically log meeting summaries to Attio contacts, deals, and people records, and it can map structured protocol output into Attio’s custom object structure. Read the details in our Attio integration guide. Each user connects their own Attio account and that the integration respects Attio workspace permissions, only accessing records the authenticated user can view and edit. Read the details in our Attio integration guide. At a high level, the workflow most teams are trying to achieve looks like this: - Capture: meeting notes and summaries are produced and can be logged back to Attio. - Structure: protocols turn repeated call types into consistent outputs. - Evidence links: insights stay tied to the meeting source so someone can verify. - Proposed actions: suggested CRM updates are presented as proposals. - Human approval: a person approves consequential writes before they hit Attio. The relevant product areas are Intelligence and Automations, with a broader list of connections at integrations directory. #### Do you need cross-meeting search, or just better notes? This is the fork in the road. If your deals are simple and single-threaded, better note hygiene and templates may be enough. If your deals are long-cycle, multi-stakeholder, or have lots of internal handoffs, you usually need cross-meeting retrieval. Our Multi-Meeting Search helps sales teams track deal conversations over time by asking questions that span the full meeting history with a prospect or customer, with the AI searching across recorded calls and synthesizing the answer. Read the details in our sales workflow guide. Multi-Meeting Search can also prepare reps for meetings by pulling previous meetings, open action items, and (when connected) CRM deal stage and pipeline value to produce a structured briefing. Read the details in our sales workflow guide. When you test cross-meeting search, don’t test cute prompts. Test the questions that cause real revenue risk: - “What commitments did they make, and when?” - “What objections have come up repeatedly, and how did we respond?” - “What decision criteria have they stated across meetings?” - “What changed since the last conversation with this company?” You’re looking for answers that are fast, consistent, and easy to verify against the underlying meeting evidence. #### How do you prevent meeting data from messing up your CRM? The bigger risk isn’t summarization. It’s writes. Two things tend to break trust: 1) Ambiguous association: the meeting involves multiple accounts, the invite is incomplete, or the deal linkage isn’t obvious. 2) Overconfident updates: a system updates a stage, amount, or key attribute based on a shaky interpretation, and now leadership is debating the CRM instead of the deal. Our Attio MCP integration includes permission modes such as “Ask on writes” mode where the assistant reads freely but asks permission before creating, updating, or deleting records. Read the details in our Attio integration guide. For association, our automatic matching for Attio uses attendee emails from calendar invites to match Attio person records, then following associations to linked deals and companies. When enabled, it can create new Attio person records for meeting attendees when enabled, based on attendee email addresses from calendar invites. Read the details in our Attio integration guide. Still, you need a fallback for messy cases. We support manually pushing meeting notes to a selected Attio deal from the meeting recording page, which helps when automatic matching cannot happen (for example, in-person meetings without attendee emails). Read the details in our Attio integration guide. A practical governance pattern is simple: - Let people read, search, and summarize broadly for prep and handoffs. - Require human approval for any update that changes forecasting, ownership, or customer commitments. - When association is unclear, default to manual push to the right deal (or no write) rather than guessing. That keeps Attio clean while still letting meeting intelligence do real work. #### What should a low-risk pilot look like? A good pilot is controlled. You’re proving whether you get better account memory and more consistent CRM context, without creating a new source of mess. Pick a narrow slice: one segment, one pipeline, or one team with enough call volume to stress the current approach. Then set success metrics that map to operating rhythm. Use a small scorecard so the decision is obvious. - Time-to-context: how long it takes a rep or leader to prep for a complex account. - Handoff quality: whether a new owner can pick up the account without missing decision history. - Consistency: whether key fields or custom objects stay comparable across reps. - Control: whether proposed updates are reviewable and approved before they land in Attio. Rollout controls matter as much as features: - Keep “ask on writes” enabled during the pilot. - Decide which objects/attributes are in scope for proposed updates. - Agree on the rule for ambiguous association: manual push or no write. For setup details, see our Attio integration guide. The decision isn’t whether you need call recordings. Attio already positions itself to cover recording, transcription, storage, and AI insight templates. The decision is whether your team needs cross-meeting retrieval and a governed path from meeting evidence to consistent CRM updates as deal volume and complexity grow. ### Introducing the Optiverse Startup Grant Program https://www.optiverse.ai/blog/introducing-the-optiverse-startup-grant-program · Updates · 2026-07-30 · Nicolas Kreutzer Today, we are launching the Optiverse Startup Grant Program. Sales reps often delay logging meeting notes, updating deal stages, or creating new contacts, resulting in a messy pipeline and inaccurate revenue forecasts. What if your CRM could update itself based on the conversations you are already having? By integrating an advanced AI meeting assistant with HubSpot via n8n, you can create an "agentic" workflow that automatically tracks pipeline progression. Here is how you can achieve zero-touch CRM automation. #### The Pain of Manual Sales Pipeline Automation In a standard sales process, a rep finishes a discovery call or a product demo and must manually: - Log into HubSpot. - Search for the associated company or contact. - Type out a summary of the call. - Manually progress the deal stage (e.g., from "Discovery" to "Demo Completed"). This manual data entry leads to missing information and delayed pipeline visibility. To achieve true sales pipeline automation, you need a system that listens to your calls, understands the context, and executes CRM updates autonomously. #### Optiverse: The AI Meeting Assistant for Revenue Teams To fuel an autonomous CRM workflow, you need high-quality data. Optiverse is a premium AI meeting assistant designed to capture flawless transcripts and actionable insights. Optiverse natively supports deep CRM integrations, making it a favorite among revenue teams. While Optiverse's native HubSpot integration allows you to push meeting summaries to contacts and deals effortlessly, you can take it a step further. By passing Optiverse's rich transcript data into n8n, you can build an AI Sales Ops agent that makes logical decisions about your pipeline. #### Building the n8n Workflow: Auto-Update HubSpot Deals We built a highly sophisticated n8n workflow that uses Optiverse webhook data to search, analyze, and update HubSpot records autonomously. Here is how this intelligent CRM automation AI functions: ###### Step 1: Extracting Contacts and Finding the Deal When an Optiverse meeting concludes, the webhook sends the transcript and participant data to n8n. The workflow isolates the email addresses of the clients on the call and queries the HubSpot API. It finds the matching HubSpot contacts, identifies their ID, and searches for all active deals linked to that company. ###### Step 2: Agentic Reasoning via AI This is where the magic happens. The workflow feeds the list of active HubSpot deals and the full Optiverse meeting transcript into an Azure OpenAI model acting as an "Expert Sales Operations AI." The AI is given strict instructions: - Match the Deal: Read the transcript and figure out which of the active deals was discussed. - Assess Stage Progression: Analyze the conversation to determine if the deal moved forward (e.g., did they agree to a pilot? Did they discuss pricing?). - Identify Net-New Opportunities: If the transcript reveals a completely new project not listed in the active deals, extract the info to create a new one. ###### Step 3: Updating the CRM automatically Once the AI returns its structured JSON decision, the workflow uses HubSpot API nodes to execute the updates. If the deal progressed, it automatically changes the deal stage in HubSpot. Finally, it creates a detailed Note containing the AI's reasoning (e.g., "Moved to 'Pilot' because Daniel agreed to a CHF 15,000 pilot starting in April") and a direct link to the Optiverse meeting recording, attaching it directly to the HubSpot deal. #### Native Optiverse HubSpot Integration: The Simple Alternative Agentic reasoning in n8n is incredibly powerful, but it requires technical setup and maintenance. If your team wants immediate, out-of-the-box functionality, the native Optiverse HubSpot integration is the perfect solution. Available directly on the HubSpot App Marketplace, Optiverse's native app allows you to automatically create new contacts from meeting participants and push customizable meeting summaries directly to your Contact and Deal activity feeds. It is incredibly simple to set up and saves hours of manual logging without needing a single line of code. Next Step: Want to implement this agentic HubSpot deal updater for your own team? Your team can finally stop doing data entry and focus entirely on closing deals. ### How to Automate Follow-Up Emails Using an AI Meeting Assistant and n8n https://www.optiverse.ai/blog/how-to-automate-follow-up-emails-using-an-ai-meeting-assistant-and-n8n · Technology · 2026-03-02 · Nicolas Kreutzer Following up after a meeting is one of the most critical steps in the sales and customer success process. Yet, it is also one of the most time-consuming. Crafting a personalized, accurate, and engaging email that recaps action items and next steps can take hours out of your week. What if you could automate follow-up emails entirely? By combining a powerful AI meeting assistant with an automation platform like n8n, you can turn your meeting transcripts into perfectly crafted, ready-to-send email drafts. In this guide, we will walk you through how to use Optiverse, a leading AI meeting assistant, to automate your email drafts seamlessly. #### The Challenge of Manual Follow-Up Emails If you are a Sales Representative, Customer Success Manager, or Project Lead, you likely spend a significant portion of your day reviewing meeting notes and writing follow-ups. A generic template won't cut it—clients expect you to address their specific pain points, mention them by name, and accurately recall the nuances of your conversation. Relying on manual notes often leads to: - Delayed responses: Taking too long to send the follow-up kills momentum. - Missed details: Human error means critical action items can slip through the cracks. - Wasted time: Time spent writing emails is time away from selling or supporting clients. An AI meeting assistant solves the initial problem by capturing flawless AI meeting transcripts and summaries. But to truly close the loop, you need a workflow that bridges the gap between your meeting insights and your inbox. #### Introducing Optiverse: The Ultimate AI Meeting Assistant Before diving into complex workflows, it is important to choose the right foundation. Optiverse is an enterprise-grade AI meeting assistant that provides perfect transcription, custom summarization, and task automation. Unlike basic transcription tools, Optiverse understands over 45 languages and dialects (including Swiss German) and offers deep integration capabilities. While you can use Optiverse’s native integrations to easily push summaries to your CRM or task boards with a single click, power users can leverage its API and webhooks to build highly customized, agentic workflows in n8n. #### Building the n8n Workflow: Automate Email Drafts If you want to create a tailored follow-up mail via a single button press directly inside the Optiverse interface, n8n is the perfect middleware. Here is a breakdown of how our custom n8n workflow operates to place a highly accurate draft directly into your Gmail inbox. ###### Step 1: Triggering the Webhook via Optiverse The workflow begins when a meeting ends. Optiverse sends a rich webhook payload to n8n. This payload contains the meeting metadata, participant details, the full AI meeting transcript, and the AI-generated summary. You can even add custom context directly inside an Optiverse field that appears after clicking the action button. ###### Step 2: AI Categorization of the Meeting Not all meetings require the same follow-up. Using an Azure OpenAI integration within n8n, the workflow acts as an expert data classifier. It analyzes the meeting summary and categorizes the call into one of four distinct meeting summary templates: - Demo: Focuses on showcasing the product. - Feedback: Focuses on user testing and feature requests. - Debriefing: Focuses on internal reviews or post-mortems. - Onboarding: Focuses on next steps for new clients. ###### Step 3: Crafting the Personalized Message Once the meeting type is identified, the workflow routes the data to a specific prompt template. For example, if the AI detects a "Demo," it instructs the language model to act as an expert Sales Rep. The AI scans the full transcript and pulls out exact quotes and pain points, attributing them to specific stakeholders by name. It ensures the tone is professional, conversational, and highly personalized—strictly avoiding hardcoded fluff. ###### Step 4: Creating the Gmail Draft Finally, the workflow converts the AI-generated Markdown text into HTML and connects to the Gmail API. It creates a draft directly in your inbox (e.g., your Google Workspace account). You never have to lift a finger to write the email. You simply open your Drafts folder, review the highly accurate, context-aware message, and hit send. #### Optiverse Integrations: Keeping it Simple While building an n8n workflow offers limitless customization, it can be complicated to set up. If you are looking for immediate results without the technical heavy lifting, Optiverse offers powerful native integrations. You can seamlessly connect Optiverse directly to platforms like HubSpot, Salesforce, and Notion. With built-in Optiverse integrations, pushing a meeting summary or action items to your CRM is as simple as clicking a button right on the recording page. Next Step: Want to implement this agentic HubSpot deal updater for your own team? Download our free step-by-step Guide and the complete n8n workflow JSON file below to start automating your CRM today. #### Reclaim Your Time with Sales Follow-up AI By leveraging an AI meeting assistant like Optiverse alongside automation tools, you eliminate the busywork of post-meeting administration. Whether you opt for a complex n8n agentic workflow or Optiverse's simple native integrations, automating your follow-ups ensures you always communicate professionally, accurately, and promptly. ### How Meeting Sharing Works in Optiverse https://www.optiverse.ai/blog/how-meeting-sharing-works-in-optiverse · Technology · 2025-12-14 · Mario Assaf Optiverse is designed to make meeting knowledge easy to access, without forcing you to manually share every recording. That power, however, comes with a few concepts that are important to understand clearly. This article explains how meeting access, email summaries, and sharing settings work together, so you always know: - Who can see a meeting recording - Why someone may have access even if they didn’t receive an email - How to fully restrict access when needed ##### 1. First Things First: Email ≠ Access One of the most common misunderstandings is assuming that email delivery controls access. In Optiverse, this is not the case. ###### Email summaries are notifications, not permissions. - Email summaries are sent once, after a meeting is recorded - They are delivered based on your Email Recap settings - Not receiving an email does not mean someone cannot access the recording It is entirely possible for someone to: - Attend a meeting - Be recorded - Not receive an email - Still have legitimate access to the recording later This is by design. ##### 2. Who Is Who in Optiverse? To understand sharing, it helps to clarify roles: - Optiverse user Someone with an Optiverse account who has connected their calendar and uses the AI meeting assistant. - Organization / Workspace A shared Optiverse environment where multiple users collaborate. - Organization member An Optiverse user who belongs to your workspace. - Guest Someone without an Optiverse account who was invited to a meeting and may receive access to the recording. ##### 3. How Baseline Access to Recordings Works When the Optiverse AI meeting assistant successfully joins and records a meeting: ###### Baseline access is determined by: - Who was invited on the calendar - Whether guest access is enabled - Whether future users are allowed - Organization-wide policies (which always override personal settings) ###### Important implications: - Accepting or declining the calendar invite does not matter - What matters is whether the email address was invited - Access is identity-based, not email-based ##### 4. “I Didn’t Get the Email, But I Can See the Recording” — Why This Happens This is one of the most common support questions. If someone was invited to a meeting: - They may later create an Optiverse account using the same email - Optiverse recognizes them as a legitimate attendee - Past recordings become visible to them ###### Want to prevent this? You can disable Future Users in your settings. When turned off: - Guests who do not yet have an Optiverse account will not gain access later - Even if they were invited at the time of the meeting This setting applies across all recordings and can be changed at any time. ##### 5. Guest Access and “Public” Recordings By default, meeting recordings can be accessed by guests via secure links. This is controlled by Guest Access (organization-wide). ###### Guest Access ON - Guests can view recordings - Public links are available - Access is convenient for external collaboration ###### Guest Access OFF - No public links exist - Guests cannot access recordings - Only explicitly listed users and organization members can view them If you want email delivery to be the only way guests receive access, Guest Access should be turned off. ##### 6. Auto-Sharing: Adding Access on Top Auto-sharing is an optional layer, not a permission system. It allows you to automatically share recordings with: - Selected users - Your entire organization - Coaches or managers who didn’t attend the meeting You can: - Treat internal and external meetings differently - Enable or disable this at any time Auto-sharing never removes access, it only adds it. ##### 7. Full Transparency on Every Recording Every meeting recording in Optiverse works like a document in a shared drive. For each recording, you can: - Open the Share panel - See exactly which email addresses have access - Check whether a public link exists - Manually adjust access if needed If Guest Access is disabled, public links are removed automatically. ##### 8. Recording Awareness and Consent Optiverse takes transparency seriously: - The AI meeting assistant announces itself in the meeting chat - Participants are informed that the meeting is being recorded Meeting hosts remain responsible for: - Verbal disclosure if required by local regulations - Ensuring participants are comfortable with recording We advise Optiverse Users to ask for consent to record by framing value, this goes a long way: "Is it okay if I let this AI Meeting assistant record and take the notes for us so tht we can fully focus on this conversation? " ##### 9. A Simple Way to Think About It If you remember just one thing, remember this:Emails notify. Settings control access. Auto-sharing adds visibility. Once this mental model is clear, Optiverse’s sharing behavior becomes predictable and easy to manage. ##### Questions or Feedback? If anything still feels unclear, our team is always happy to help (contact@optiverse.ai), and we continuously improve the platform to make these concepts even more intuitive. ### How Demodia Streamlined Multilingual Meeting Notes & Client Collaboration with Optiverse https://www.optiverse.ai/blog/how-demodia-streamlined-multilingual-meeting-notes-client-collaboration-with-optiverse · Updates · 2025-08-23 · Mario Assaf Industry: B2B Marketing & Sales Enablement Company: Demodia Role Interviewed: Simon Harvey, Founder & CEO Location: Switzerland (with clients and meetings across Europe) Demodia Website ##### 🔍 Background Demodia is a leading go-to-market consultancy that helps small and midsize B2B organizations clarify their messaging, structure their sales processes, and deliver impactful marketing campaigns, often leveraging HubSpot as a core platform. With a client base spanning multiple countries and languages, Demodia’s team averages 6–8 meetings per person a day, mostly client-facing, with a mix of project updates, sales discussions, and internal reviews. “I spend at least four hours a day on calls with customers—project meetings, sales requirements, and internal conversations.” — Simon Harvey, CEO, Demodia ##### 🧠 The Challenge: ###### Drowning in Meetings, Losing the Details Before Optiverse, Demodia faced the classic meeting overload challenge: - Too Many Calls, Not Enough Clarity: With hours of meetings daily, it was nearly impossible to take full notes or recall every nuance. - Manual Documentation Headaches: Handwritten notes would get lost, and it was easy to forget detailed action items or client requests. - Siloed Knowledge: Meeting knowledge stayed in the head of whoever attended—not easily accessible to the wider team. - Clunky Legacy Tools: Demodia initially used Avoma for meeting capture. While transcription worked, “action items” and “next steps” extraction was based on strict keyword triggers and required unnatural meeting structures. If you forgot to say “next meeting is…”, the tool would miss it. - Multilingual Complexity: With meetings in English, German, Italian, and Swiss German, capturing and sharing information across languages was a constant headache. ##### ✅ The Solution: ###### Optiverse as Demodia’s Multilingual Meeting Memory Demodia adopted Optiverse as their agency’s “always-on” meeting assistant, integrated directly into their workflows: - Automated, Accurate Transcripts in Any Language: Optiverse reliably transcribes meetings in English, German, Italian, and even Swiss German, returning the results in whatever language the user chooses. - Custom Protocols = Structured Notes: Demodia built their own “storytelling” protocols for extracting exactly the details they care about: who the customer is, their pain points, project context, and next steps. These custom prompts allow the team to create tailored, consistent documentation, regardless of language or meeting style. - Seamless HubSpot Integration: Meeting summaries, translated to English if needed, are pushed directly into HubSpot, making key info accessible to the whole team, even if the original conversation was in Swiss German. - AI-Powered Meeting Agent: Team members can quickly query any past meeting—“What was I supposed to do?” or “What was the client’s feedback?”—and get direct, referenced answers, saving time and boosting confidence. ##### 💥 The Results: ###### Less Admin, More Focus, and Better Collaboration Quantifiable Impact: - Up to 30% Less Time Spent on Meeting Follow-Up Preparing structured client minutes previously took 15–20 minutes per meeting. With Optiverse, Demodia now saves over 30% of that time across 6–8 meetings per day. As the team moves toward fully automating follow-up meeting minutes using the platform, time savings are projected to reach as high as 80%. - Hours Reclaimed Every Week With more than 30 meetings a week, Simon and his team save several hours each week, allowing them to focus on higher-value work. Qualitative Benefits: - True Meeting Presence: “I can actually focus on the customer, not on scribbling notes. The assistant captures what matters, so I can be present in the conversation.” - Multilingual Collaboration: “The language support was a surprise. We can transcribe and summarize meetings in Swiss German or Italian, but output a summary in English for the whole team.” - Rapid Search & Action: “With the agent, I can instantly ask, ‘What are my action items?’ or review the key points of any call, without hunting through transcripts.” - Continuous Evolution: “The Optiverse team listens. If I share feedback, I see improvements in the product just weeks later. Their core product automates complex processes for private markets, from waterfall calculations and reporting to investor communications. “We are a software and service company specializing in private markets. Our clients include pension funds, asset managers, and fund administrators, automating calculations and streamlining processes. It’s a niche, but a vital one.” — Oliver Freigang, CEO, qashqade qashqade’s sales and client management teams operate across geographies and asset classes, with every client relationship and deal hinging on accurate, timely information. ##### 🧠 The Challenge: From Siloed Notes to Lost Oversight The old way? Before Optiverse, qashqade’s team relied on manual spreadsheets, siloed notes, and scattered processes to record meetings and client interactions. “Every salesperson had their own spreadsheet. The minutes were with the individual who wrote them—no sharing, no transparency. As a manager, I had no idea what was agreed with clients or the size of the deals.” — Oliver Freigang Main pain points: - CRM Inconsistency: Adoption of Pipedrive CRM was low, with crucial updates left out or delayed. - Manager Blind Spots: Oliver and leadership lacked visibility into client conversations, agreements, or even the true size of a potential deal. This made resource allocation—and strategic decisions—painfully inefficient. - Sales Team Reluctance: “Salespeople notoriously are lazy when it comes to documentation. They’re busy chasing the next deal, not logging the last one.” - Lost Opportunity Cost: Without reliable deal context, the team risked spending 20+ hours on a small client POC, unaware of whether the deal was worth the investment. ##### ✅ The Solution: Optiverse + Pipedrive Integration With Optiverse, qashqade transformed its client meeting workflow: - Automated Meeting Recording: Every client call and sales meeting is captured and summarized in Optiverse. - Tailored Templates: Sales and client management each use purpose-built templates to ensure all the right information is captured, fund count, deal size, next steps, etc. - Seamless Pipedrive Sync: Meeting minutes and key data are automatically pushed to Pipedrive, creating a single source of truth for every opportunity. “It was important for us to connect Optiverse to Pipedrive, so the information would finally be there, not scattered. Now, even if someone is ‘super lazy,’ at least the AI plugs into their meeting and fills out the main questions we care about.” — Oliver Freigang ##### 💥 The Results: Efficiency, Transparency, and Time Saved ###### Quantifiable Impact: - 30% Time Saved “If you’re utilizing it right, you can save at least 30% of your time. That’s time you can allocate to something else.” - Faster, Sharper Follow-Up: Each client-facing team member saves up to 15–30 minutes per meeting on post-call notes and CRM updates. - Consistent Documentation: Key deal details are always captured, no matter how ‘lazy’ the rep. - Manager Visibility: Leadership can now review call summaries, confirm what was discussed, and make informed decisions, whether on resource allocation or deal strategy. ###### Qualitative Benefits: - No More Black Boxes: “Now, if someone says ‘We’re going to win this client,’ I can see the real details, what was agreed, the numbers, and if it’s worth the investment.” - Search & Retrieval: “With Optiverse, I can jump straight to the transcript or even the video if I need to check what happened. No more chasing people for info.” - Team Adoption: Teams are informed about Optiverse’s use, supporting data privacy and transparency standards. ##### 🧩 Lessons Learned & Ongoing Improvements Oliver is candid about the human element: “No tool replaces thinking. AI should never be the decision-maker in your life—but it absolutely should be your support system. Optiverse is a tool that, when used right, makes us more efficient and effective.” ##### 💬 Testimonial “For me, it’s a big thing to say a tool makes us more efficient and effective. I was always impressed with Optiverse, not just for what it does today, but because I can see you’re always improving it.” — Oliver Freigang, CEO, qashqade ##### 🏁 One-Liner Optiverse gave qashqade the visibility and discipline to turn every client conversation into actionable data, saving time, boosting transparency, and making management smarter, not just busier. With teams spanning product, IT, education, and client implementation, BIG group  juggles complex internal coordination and client-facing work daily. At the center of that operational web is Maia Gutter, Head of Operations, overseeing everything from AI training delivery to IT team integration and client project rollouts. “I coordinate everything from our master programs to internal automation and AI implementations. That means dozens of meetings a week, some strategic, some technical, and all high-stakes.” ###### 🧠 The Challenge: Post-Meeting Chaos and Misalignment Before using Optiverse, the team was drowning in manual meeting recaps, lost notes, and costly miscommunication. - Note-Taking Stress: “I’d take notes not because I wanted to, but because I was scared of missing something. Then came the cleanup. Then the follow-up. It never ended.” - No Source of Truth: “When there was disagreement or miscommunication, there was no way to go back and check. You just had to rely on memory or scattered notes.” - High-Stakes Meetings: Maia regularly designs real-time tech solutions in meetings. “I’m ideating solutions live. And then I’d have to recreate it post-meeting.” ###### ✅ The Solution: Optiverse as a Meeting OS Today, Maia and her teams use Optiverse as a default layer across nearly all meetings, internal, client-facing, partner calls, hiring, and even technical brainstorms. “The real value? When I need it, it’s there. I don’t have to think about it. Not just note-taking, but an interactive log that removes stress and makes post-meeting processing way faster.” ###### 💬 Bonus: Optiverse Drives Adoption Across Roles - Sales: BigSEO’s Sales Manager relies on it for follow-ups and internal handoffs. - HR: Uses Optiverse recaps to streamline hiring processes. - Product/IT: Tracks client specs, technical notes, and solutions in real-time without manual logging. ###### 🌍 Multilingual, Multinational, Always Aligned BIG  Group operates across countries, cultures, and languages. Optiverse seamlessly captures meetings in Spanish and English—even with overlapping regional accents. “Even when a meeting has someone from Argentina and someone from Spain, it handles both perfectly.” ###### 💡 If You Took It Away…? “It would add stress back into every meeting. Optiverse removes the mental load of having to remember, capture, and structure everything yourself.” “Optiverse is a reliable AI partner that turns chaotic meetings into structured, searchable, and stress-free outcomes.” ###### 🚀 Closing Note from Maia “What gives me the most trust? You’re constantly improving. Every time I make a suggestion, it gets built. I feel heard. Link to the survey executive summary: Why Companies Choose Optiverse.ai Built for Meetings, Not Just an Add-On Optiverse.ai is designed from the ground up to serve as a true AI-native meeting assistant. With support for over 45 languages and dialects, it ensures accurate transcription and comprehension across multinational teams. Its robust support for multiple platforms—including Google Meet, Zoom, Microsoft Teams, and even in-person meetings via a mobile app—makes it an ideal fit for hybrid and global teams. Copilot's Limitation: Teams Only In contrast, Microsoft Copilot operates as an add-on to Microsoft Teams, which limits its capabilities to just one environment. While Copilot does offer real-time transcription, it supports fewer languages and lacks in-person meeting capture entirely. Feature Optiverse.ai Microsoft Copilot Supported Meeting Platforms ✅ Zoom ✅ Google Meet ✅ Microsoft Teams ✅ In-person (via mobile app) ⚠️ Microsoft Teams only Mobile Support ✅ iOS & Android app for in-person meetings ⚠️ No mobile meeting capture support Languages Supported 🌐 45+ languages + dialects 🌐 25+ languages (limited dialect support) Dialects ✅ Regional dialects recognized ❌ No specific dialect adaptation Language Customization ✅ Coming soon (custom glossary, terminology) ❌ Not available Custom Summaries That Fit Your Workflow Customization is another domain where Optiverse excels. Users can create "Protocols". Customized summary templates that reflect the context of specific meeting types, whether sales, project management, HR, or customer success. This ensures summaries are always relevant and actionable. Copilot Summaries: One Size Fits All Copilot, by contrast, provides generic meeting summaries without room for tailoring. From One Meeting to Many: AI Insights That Scale On the intelligence front, Optiverse offers both single and multi-meeting insights. Managers can get recurring reports that track trends and highlight issues across many conversations, enabling better team oversight and coaching. Copilot's View: One Meeting at a Time Copilot lacks multi-meeting analysis entirely, providing insights only within the scope of a single meeting. Workflows That Work for You When it comes to automation, Optiverse integrates with over 5,000 tools, including Salesforce, Dynamics, Planner, HubSpot, Notion, and Trello. It auto-fills CRMs, sends post-meeting summaries via email, and lets you schedule recurring reports. Manual Mode with Copilot: Copilot offers limited integrations and does not automate follow-ups or summaries. Enterprise-Ready Administration: Administrative control is another strong suit for Optiverse. Team leaders can auto-record meetings from team calendars, prevent deletion of sensitive calls, and group recordings into workspaces and folders. Copilot: Limited Control, More Complexity These capabilities are either absent or buried deep in OneDrive settings for Copilot users. Security Where It Counts Optiverse is GDPR and EU AI Act compliant and has clear policies around private data usage. It supports private storage, anonymized data handling, and vendor contracts with zero-day retention policies. Copilot's General Enterprise Security While Copilot leverages Microsoft’s enterprise-grade security, it's not fully compliant with emerging AI-specific regulations. Coaching Built Into the Platform Optiverse also leads in team coaching. It comes preloaded with coaching playbooks like MEDDIC, SPICED, and CHAMP, and allows creation of custom ones. These tools empower managers to evaluate sales performance and address call handling patterns. Coaching with Copilot: If You Prompt It Copilot can provide help if prompted, but lacks dedicated coaching features. Support You Can Count On Optiverse offers chat and email support even on the free plan, while also providing localized platform support in seven languages. Copilot Requires a Microsoft Subscription Copilot lacks a free plan altogether and offers limited support unless you subscribe to broader Microsoft services. Final Verdict: Purpose-Built vs. Bolt-On Optiverse.ai isn't just another AI assistant. It's a deeply integrated, fully featured platform built specifically for meeting intelligence. Microsoft Copilot may be a powerful feature in the Office suite, but when judged solely as a meeting assistant, it falls far short. Try Optiverse.ai today – because meeting AI should do more than summarize. ### From Call to CRM: How AI Summaries Streamline Deal Tracking https://www.optiverse.ai/blog/from-call-to-crm-how-ai-summaries-streamline-deal-tracking · Marketing · 2025-01-04 · Mario Assaf Salespeople live in conversations. Discovery calls, demos, negotiations, it’s all about listening, asking the right questions, and moving the deal forward. But the reality is, every call also generates homework: notes to clean up, CRM fields to fill, next steps to capture, and insights to share with the team. That’s where AI note-takers have stepped in. Tools like Microsoft Copilot, Zoom’s AI Companion, Google Gemini, Fireflies, and Otter.ai will happily give you a transcript, maybe even a neat generic summary. And that’s helpful, until you realize those summaries all look the same: who spoke, a few key points, and some action items. The problem? Sales isn’t one-size-fits-all. A SaaS discovery call, a complex enterprise negotiation, and a boardroom update all require different outcomes. Yet generic AI note-takers aren’t built to understand those nuances. #### Why Generic AI Notes Fall Short Imagine running a discovery call for a SaaS product. The AI tool spits out a neat recap: who attended, key discussion points, and some action items. But what you really needed was: - A quick MEDDIC breakdown: Metrics, Decision Makers, Pain Points. - Buying timeline and budget signals. - Competitive landscape cues dropped in passing. - Concise next steps for your pipeline review. That’s not in the generic summary. It’s not designed to capture the nuances of your sales methodology. So you’re back to re-listening, re-reading, and re-writing, defeating the purpose of automation. #### Enter Custom AI Summaries This is where the story shifts. Instead of generic recaps, what if you had a way to design your own AI playbook? One that listens to the transcript through the lens of your sales goals and outputs exactly what your CRM (and your manager) needs? That’s the core idea behind Optiverse’s approach: custom protocols, templates that map directly to the outcomes you want from a call. #### How It Works in Practice With Optiverse, you don’t just get a “summary.” You get structured outputs tailored for sales: - Ready-made sales protocols: Start with pre-built templates like MEDDIC, SPICED, or BANT. - Custom sections: Create fields for metrics, objections, buying signals, or anything else you track. - Adaptable prompts: Refine the AI instructions so the summary reflects your industry, your sales cycle, your buyer persona. You can even start the protocol template from scratch. - CRM integration: Push the results straight into HubSpot, Salesforce, or wherever your pipeline lives. Instead of generic bullets, you get deal-ready insights aligned with how your team actually sells. #### The Role of AI Prompt Engineering Of course, building a great protocol requires some prompt design skills. The AI needs to be told what to look for and how to format the output. For some teams, that’s a learning curve. That’s why Optiverse offers support: the team can take your existing sales templates, whether it’s a qualification checklist, a discovery guide, or a deal review doc, and adapt them into prompt-engineered versions. That means your team opens Optiverse and finds a ready-to-use AI template that mirrors your workflow from day one. No guesswork. No reinventing the wheel. Just summaries in your language, delivered directly where you need them. #### Why This Matters At the end of the day, the point of AI in sales isn’t to wow you with transcripts. It’s to remove friction, capture context, and give you back the hours you’d otherwise lose in admin. - For the rep: Less time typing, more time selling. - For the manager: Deal reviews with clean, structured insights. - For the org: A CRM that actually reflects what’s happening in calls, automatically. That’s the leap from “generic AI notes” to custom, outcome-driven sales intelligence. #### Takeaway If you’ve tried AI note-takers and found them helpful but not game-changing, you’re not alone. The real power lies in custom summaries that reflect your sales process, not a generic one. When every call flows seamlessly into your CRM with the right data already captured, tracking deals becomes less about admin and more about momentum. And that’s how AI stops being a novelty and starts being a true growth driver. ### Optimize Integrations to Optiverse. https://www.optiverse.ai/blog/integrations-with-optiverse-blog · Technology · 2024-12-19 · Mario Assaf In today's fast-paced business environment, managing meetings effectively is crucial for success. If you’ve been using our meeting assistant for a while, you’re likely familiar with its core functionalities—transcribing, recording, and summarizing your meetings. Today, we’re diving deeper into one powerful feature that can greatly enhance your productivity: Protocols. ###### What Are Protocols? Protocols are customizable templates that define how your meeting summaries are structured. Think of them as blueprints for your meeting notes, tailored to specific types of meetings. Whether you’re in sales, HR, or project management, protocols help ensure your summaries capture the most relevant information in the format you prefer. ###### Predefined Protocols When you start using Optiverse, you’ll find several predefined protocols created by our team to get you started: - Default Protocol: Provides a detailed overview of the meeting, lists key topics mentioned, and highlights key action items. - MEDDIC for Sales: Follows the MEDDIC framework, detailing metrics, economic buyer, decision criteria, decision process, pain points, and competition championing. - Job Interview Protocol: Tailored for summarizing job interviews. - Board Meeting Protocol: Ideal for general assemblies requiring meeting minutes. ###### Customizing and Creating Your Own Protocols While predefined protocols are a great starting point, the real power of Optiverse lies in the ability to create and customize your own protocols. Here’s how you can do it: - Navigate to the Protocols Tab: Click the big plus button to start a new protocol. - Title and Description: Give your protocol a meaningful title and description. The description is crucial as it provides pre-meeting context for our AI. - Define Sections: You can choose from predefined sections or create custom ones. Each section can be text, a bullet point list, or a simple number. For example: ###### Predefined Sections - Short Overview: General summary of the meeting. - Detailed Overview: In-depth summary of the meeting. Key Action Items: Bullet point list of action items. ###### Custom Sections Custom sections allow you to tailor your protocols to your specific needs. Here’s how: - Create a Section: Click to add a new section. - Title and Prompt: Name the section and provide a prompt. The prompt is like giving instructions to your assistant on what to extract. - Choose Data Format: Decide whether the output should be text, a bullet point list, or a number. ###### Setting Default Protocols You can set a default protocol to be used for all your meetings or choose a specific protocol for each meeting. This can be done in the agent settings on your calendar page. ###### Post-Processing with Protocols Even after a meeting has been recorded, you can reprocess it using different protocols to see which one best suits your needs. This flexibility ensures you always get the most relevant and useful summaries. ###### Integrations and Automation Optiverse integrates with various platforms, directly or through Zapier. This means you can automatically push your meeting summaries to tools like HubSpot or Notion, enriching your CRM with valuable insights from every meeting. For example, you could have a certain type of protocol that pushes to Hubspot and a different type that pushes to Notion, all automatically, or manually on the recording page through the integration icons after setting it up. ###### Eliminating AI Hallucinations One of the standout features of Optiverse is how we eliminate AI hallucinations. Every piece of information in your meeting summary references back to the meeting recording. Click on the target symbol next to any bullet point to jump straight to the corresponding part of the recording. ###### Summary To summarize, protocols in Optiverse are a powerful tool to automate and customize your meeting workflows. By leveraging predefined protocols or creating your own, you can ensure your meeting summaries are always relevant and actionable. - Understand what protocols are. - Explore predefined protocols. - Create and customize your own protocols. - Set default protocols for consistency. - Reprocess meetings with different protocols as needed. - Integrate with other platforms to maximize efficiency. - Trust the accuracy with AI hallucination elimination. We know your first meeting is just around the corner, so we wanted to give you a quick heads-up about the agent joining you to record and process the meeting: the OptiAgent. ###### Adjusting the OptiAgent Settings First thing’s first: you’ll want to tweak your OptiAgent settings. This will help you fine-tune its behavior and make it work even better with your workflow. ###### General Join Preference The General Join Preference lets you choose in which scenario you want your OptiAgent to join your meetings. Remember, Optiverse syncs with your calendars (Google and Outlook are both supported): - All my meetings: OptiAgent will join every meeting on your calendar. - Meetings where the organizer is from my team: The OptiAgent will join any meeting on your team’s calendar—even if you’re not the organizer! - Meetings I own: This one’s pretty straightforward—OptiAgent will join only meetings that you’re the organizer of. - Meetings where the agent has been invited: OptiAgent will join only meetings where it’s been specifically invited, in case you need a bit more privacy. You might be wondering, “When will the OptiAgent join my meeting?” Well, the agent will automatically join every meeting it’s been instructed to, 3 minutes before the scheduled start time. So, make sure not to start too early, or your Optiverse notetaker might miss out on some key details! ##### And When Will the OptiAgent Leave? The OptiAgent will stick around until it's time to head out. By default, it will leave any meeting after 10 minutes of silence or if all participants have left. Unless, of course, the Optiverse notetaker gets kicked out. ##### Email Recap Preference The Email Recap Preference lets you decide who gets the meeting summary after the event is over. This ensures that everyone involved stays in the loop, or only the relevant people receive a follow-up. Here’s what you can choose: - Everyone on the invite: The recap will be sent to everyone who was invited to the meeting. No one misses out on the highlights, even if they were only there in spirit! - Only me and participants from my team: This sends the recap just to you and your team members. - Only me: You’ll get the recap all to yourself. Now, no one will be left wondering what went down in that chaotic brainstorming session! ##### Default Protocol The Default Protocol setting lets you choose which analysis framework OptiAgent should use when reviewing your meetings. Select the one that fits the type of meeting you’re having, and OptiAgent will tailor its approach accordingly. Among the protocols you will be able to choose from, there is “Hob Interview” and “Intro Call”. If you’re looking for something more custom, you can also define your own protocol. For more details on which protocol are available and how to set up your own, check out our full guide on protocols here (6 min. read). ###### #### ##### Send your OptiAgent off to work! We will now show you how you can get your OptiAgent going. ##### Join Live Meeting The first button will start the process to send an OptiAgent to an already active meeting. In case you forgot to invite him! Clicking on the button, before the OptiAgent can join the meeting you will be prompted to: - Enter the meeting link (as provided by your meeting applications, among the ones we support: Zoom, Microsoft Teams or Google Meets - Optionally, give this meeting a title (that will be used when the analyzed meeting will be saved to your recordings) - Select the protocol Note that this will share the summary only with the user that invited the agent. ##### Schedule Clicking this button, you will be redirected to your favorite calendar application, where you’ll be able to schedule a meeting: the OptiAgent will then directly scan your calendar waiting for a meeting to happen. ##### Upload a Meeting Alternatively, if you forgot to have the OptiAgent to the meeting, or have an older meeting you’d like the agent to analyze, you can upload the recording of a meeting here: this works for both audio and video recordings. Unfortunately, if a recording lasts less than 3 minutes or has inconsistent audio quality its analysis might fail and the meeting not be processed. ##### Summary: In conclusion, the OptiAgent is a powerful tool designed to seamlessly integrate with your meetings and provide valuable assistance. By adjusting your settings to suit your needs, you can customize the agent’s participation, from which meetings it joins to when it leaves. With email recap preferences and protocols tailored for different meeting types, you can ensure that you get the most relevant summaries delivered to the right people. Whether you’re scheduling, joining live, or uploading past meetings, OptiAgent offers flexibility and efficiency to enhance your workflow and ensure nothing gets missed.
